Overview
CIRCOR ProTrack is an enterprise project and resource management application built for a global engineering organization operating across valve and pump divisions. The platform connects departments, teams, projects, milestones, tasks, resources, and timesheets into a single operational system, enabling leadership to plan capacity, monitor execution, track utilization, and measure quality across engineering, services, and new product development.
Scope:

Challenge
The organization managed projects, resources, and performance using fragmented tools and manual processes. There was limited real-time visibility into utilization, task progress, and quality deviations across departments and locations. Planning changes took hours to propagate, WIP status was often outdated, and risk identification was largely reactive.
No unified view of projects, milestones, and tasks
Manual resource allocation without real availability insight
Poor visibility into utilization across projects and services
Difficulty tracking non-task activities like training and meetings
Limited measurement of quality deviations and timeline slippage
No structured way to evaluate department and team performance
Solution
We designed a centralized project and resource management platform tailored for engineering-intensive organizations with complex hierarchies, parallel projects, and strict quality requirements. The system balances planning discipline with operational flexibility, ensuring accurate tracking without adding unnecessary process overhead.
• Hierarchical project structure with departments, teams, and roles • Milestone-driven project planning with task-level ownership • Resource availability calculation based on working calendars and logged effort • Skill-aware task assignment to balance workload and capability fit • Timesheets covering both task and non-task activities • Utilization reports across projects, services, and new product development • Quality escape tracking for timeline overruns and rejected work • Department and team performance dashboards • Training, workshop, and event tracking with participation records
